Step 1: Prepare Gmail (important)
If your Gmail account uses 2-Step Verification (most do), you must create an App Password.
- Log into Gmail / Google Account
- Go to Security
- Enable 2-Step Verification (if not already enabled)
- Under “Signing in to Google” → App passwords
- Create a new app password:
- App: Mail
- Device: Other → name it
SmarterMail
- Google will show a 16-character password
- Copy it — you’ll use this in SmarterMail
- Do not use your normal Gmail password
👉 If you don’t use 2-step verification, Gmail may still block normal passwords. App passwords are strongly recommended.
Step 2: Log into SmarterMail Webmail
- Open your SmarterMail webmail URL
- Log in to your email account
- Click Settings (gear icon, top right)
Step 3: Add Gmail to Email Retrieval
- Go to:
Connectivity → Email Retrieval - Click New (or Add Retrieval Account)
Step 4: Gmail Server Settings
Choose IMAP (recommended) or POP3:
✅ Recommended: IMAP (best experience)
Fill in:
- Server:
imap.gmail.com - Port:
993 - Encryption:
SSL/TLS - Username: your full Gmail address
([email protected]) - Password: the App Password from Step 1
- Retrieve From: Inbox (or all folders if offered)
- Delete from server: ❌ No (leave mail on Gmail)
POP3 (simpler, inbox only)
- Server:
pop.gmail.com - Port:
995 - Encryption:
SSL/TLS - Username: full Gmail address
- Password: App Password
- Leave messages on server: ✅ Yes
Step 5: Retrieval Schedule
Set:
- Check every: 10–15 minutes
- Enabled: ✅ Yes
- Download attachments: ✅ Yes
Save the retrieval task.
Step 6: Test It
- Click Test (if available)
- Or wait a few minutes
- Send yourself a test email to Gmail
- It should appear automatically in SmarterMail
🎉 Done — Gmail mail now shows up inside SmarterMail.

🔁 Send mail as your Gmail address
You can configure SMTP Accounts in SmarterMail so replies appear to come from Gmail.
Typical Gmail SMTP settings:

- Password: same App Password
This lets users reply seamlessly without switching interfaces.
