{"id":1612,"date":"2026-02-09T13:02:28","date_gmt":"2026-02-09T13:02:28","guid":{"rendered":"https:\/\/www.woodcentral.com\/-\/peter\/?p=1612"},"modified":"2026-05-24T11:28:09","modified_gmt":"2026-05-24T11:28:09","slug":"using-gmail-and-other-accounts-inside-smartermail","status":"publish","type":"post","link":"https:\/\/www.woodcentral.com\/-\/peter\/using-gmail-and-other-accounts-inside-smartermail\/","title":{"rendered":"Using Gmail and other accounts inside SmarterMail"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Step 1: Prepare Gmail (important)<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If your Gmail account uses <strong>2-Step Verification<\/strong> (most do), you must create an <strong>App Password<\/strong>.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Log into <strong>Gmail \/ Google Account<\/strong><\/li>\n\n\n\n<li>Go to <strong>Security<\/strong><\/li>\n\n\n\n<li>Enable <strong>2-Step Verification<\/strong> (if not already enabled)<\/li>\n\n\n\n<li>Under <em>\u201cSigning in to Google\u201d<\/em> \u2192 <strong>App passwords<\/strong><\/li>\n\n\n\n<li>Create a new app password:\n<ul class=\"wp-block-list\">\n<li>App: <strong>Mail<\/strong><\/li>\n\n\n\n<li>Device: <strong>Other<\/strong> \u2192 name it <code>SmarterMail<\/code><\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Google will show a <strong>16-character password<\/strong>\n<ul class=\"wp-block-list\">\n<li><strong>Copy it<\/strong> \u2014 you\u2019ll use this in SmarterMail<\/li>\n\n\n\n<li>Do <strong>not<\/strong> use your normal Gmail password<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udc49 If you <em>don\u2019t<\/em> use 2-step verification, Gmail may still block normal passwords. App passwords are strongly recommended.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2: Log into SmarterMail Webmail<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open your SmarterMail webmail URL<\/li>\n\n\n\n<li>Log in to your email account<\/li>\n\n\n\n<li>Click <strong>Settings<\/strong> (gear icon, top right)<\/li>\n<\/ol>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3: Add Gmail to Email Retrieval<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Go to:<br><strong>Connectivity \u2192 Email Retrieval<\/strong><\/li>\n\n\n\n<li>Click <strong>New<\/strong> (or <strong>Add Retrieval Account<\/strong>)<\/li>\n<\/ol>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4: Gmail Server Settings<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Choose <strong>IMAP<\/strong> (recommended) or <strong>POP3<\/strong>:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\u2705 Recommended: IMAP (best experience)<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Fill in:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Server:<\/strong> <code>imap.gmail.com<\/code><\/li>\n\n\n\n<li><strong>Port:<\/strong> <code>993<\/code><\/li>\n\n\n\n<li><strong>Encryption:<\/strong> <code>SSL\/TLS<\/code><\/li>\n\n\n\n<li><strong>Username:<\/strong> your full Gmail address<br>(<code>yourname@gmail.com<\/code>)<\/li>\n\n\n\n<li><strong>Password:<\/strong> the <strong>App Password<\/strong> from Step 1<\/li>\n\n\n\n<li><strong>Retrieve From:<\/strong> Inbox (or all folders if offered)<\/li>\n\n\n\n<li><strong>Delete from server:<\/strong> \u274c No (leave mail on Gmail)<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h3 class=\"wp-block-heading\">POP3 (simpler, inbox only)<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Server:<\/strong> <code>pop.gmail.com<\/code><\/li>\n\n\n\n<li><strong>Port:<\/strong> <code>995<\/code><\/li>\n\n\n\n<li><strong>Encryption:<\/strong> <code>SSL\/TLS<\/code><\/li>\n\n\n\n<li><strong>Username:<\/strong> full Gmail address<\/li>\n\n\n\n<li><strong>Password:<\/strong> App Password<\/li>\n\n\n\n<li><strong>Leave messages on server:<\/strong> \u2705 Yes<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 5: Retrieval Schedule<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Set:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Check every:<\/strong> 10\u201315 minutes<\/li>\n\n\n\n<li><strong>Enabled:<\/strong> \u2705 Yes<\/li>\n\n\n\n<li><strong>Download attachments:<\/strong> \u2705 Yes<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Save the retrieval task.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 6: Test It<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click <strong>Test<\/strong> (if available)<\/li>\n\n\n\n<li>Or wait a few minutes<\/li>\n\n\n\n<li>Send yourself a test email to Gmail<\/li>\n\n\n\n<li>It should appear automatically in SmarterMail<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83c\udf89 Done \u2014 Gmail mail now shows up inside SmarterMail.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Optional (but very useful)<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">\ud83d\udd01 Send mail <em>as<\/em> your Gmail address<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">You can configure <strong>SMTP Accounts<\/strong> in SmarterMail so replies appear to come from Gmail.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Typical Gmail SMTP settings:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>SMTP Server:<\/strong> <code>smtp.gmail.com<\/code><\/li>\n\n\n\n<li><strong>Port:<\/strong> <code>587<\/code><\/li>\n\n\n\n<li><strong>Encryption:<\/strong> STARTTLS<\/li>\n\n\n\n<li><strong>Username:<\/strong> full Gmail address<\/li>\n\n\n\n<li><strong>Password:<\/strong> same App Password<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This lets users reply seamlessly without switching interfaces.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Step 1: Prepare Gmail (important) If your Gmail account uses 2-Step Verification (most do), you must create an App Password. \ud83d\udc49 If you don\u2019t use 2-step verification, Gmail may still block normal passwords.
